Customer and quotation terms

This document is a practical framework for Aizyne subscribers to adapt for their own customer contracts. Aizyne supplies the software only and is not a party to the gardening or landscaping contract.

Subscriber responsibility

The subscriber must make sure every quotation accurately describes the work, materials, quantities, programme, price, currency, tax, payment schedule, exclusions and assumptions. The subscriber must also comply with applicable consumer, trading, planning, environmental, employment, health and safety and tax rules.

Scope and variations

Work should not begin on a changed scope until the customer has received and accepted the updated price and terms. Site conditions, access, utilities, weather, plant availability and customer changes should be recorded as assumptions or variations.

Deposits, payment and cancellation

Aizyne does not require a deposit. A subscriber may include one only where the business and customer have agreed the exact amount and terms before the customer accepts the quotation. Any agreed deposit should be clearly identified, credited to the final invoice and handled in accordance with applicable law. The subscriber should also state when staged or final payments are due, what happens if payment is late, and how either party may cancel. Consumer cancellation rights and any exception for work started at the customer’s request must be handled according to the customer’s local law.

Quality, damage and aftercare

The subscriber should describe workmanship standards, reasonable care, plant establishment or maintenance assumptions, access responsibilities, reporting of defects and any warranty or aftercare offered. Do not promise results that depend on conditions outside the subscriber’s control.

Aizyne’s role

Aizyne records the subscriber’s quotation and any customer decision. It does not inspect the site, verify the quotation, hold customer money, employ the gardening team or guarantee the work.
